The Office Manager & Executive Assistant provides high-level operational, administrative, and executive support across the Space Systems team, with a particular focus on enabling the EVP and senior leadership team.

This role combines proactive executive support with responsibility for the efficient day-to-day operation of the office. It plays a critical role in ensuring leadership effectiveness through professional coordination of schedules, communications, travel, and key deliverables, while maintaining a well-organised, safe, and high-functioning workplace environment.

The position acts as a central coordination point across internal teams and external stakeholders, requiring strong judgement, discretion, and the ability to manage competing priorities in a fast-paced environment. Details include: 

Job Description

Executive Support

  • Provide proactive support to the EVP and senior leadership team, anticipating needs and resolving issues
  • Manage complex diary and inbox, aligning priorities with strategic objectives
  • Prepare and coordinate executive-level documents, including briefings, reports, and presentations
  • Support executive, board, and stakeholder meetings, ensuring accurate and timely materials
  • Track key actions, decisions, and act as a liaison across internal and external stakeholders

Travel, Meetings & Events

  • Coordinate complex meetings across multiple stakeholders and time zones
  • Manage domestic and international travel, including itineraries, logistics, and contingencies
  • Take minutes and track follow-up actions where required
  • Organise executive engagements, offsites, team events, and VIP visits
  • Support onsite activities, office moves, and marketing/event coordination

Operational & Administrative Support

  • Oversee day-to-day office operations and maintain a functional, professional environment
  • Maintain records, documentation, and SharePoint repositories
  • Manage expenses, purchase tracking, and corporate card reconciliations
  • Support onboarding and offboarding, including access and workspace setup
  • Act as key contact for service providers and drive improvements to admin processes

Skills and Experience required: 

  • Proven experience supporting senior executives (Executive Assistant / Office Manager level)
  • Strong organisational skills with the ability to manage competing priorities
  • Excellent communication and preparation of high-quality documents
  • Sound judgement, discretion, and ability to work independently
  • Advanced Microsoft 365 skills (Outlook, Teams, Word, Excel, PowerPoint)
  • Proactive, adaptable, and confident working with senior stakeholders
